The Requirements

To meet the basic qualification for this position you will be legally authorized to work in the United States for any employer without requiring a visa transfer or visa sponsorship. To be a strong fit for the Accounts Receivable Assistant role, you will have:

  • A high school diploma or equivalent and one or more of the following:
    • A two-year college degree preferred
    • Completion of a specialized course of study at a business or trade school
    • Completion of specialized training courses conducted by equipment vendors
    • Job-specific skills acquired through an on-the-job training or apprenticeship program

  • Strong interpersonal skills; courtesy and a team-oriented approach working with co-workers
  • Ability to own your responsibilities and work independently
  • Effective verbal and written communication skills
  • Ability to maintain the confidentiality of information as appropriate

You will work standard business hours, but there is some flexibility in choosing your shift. For example, you could work from 8:00 AM to 5:00 PM or 9:00 AM to 6:00 PM. 

The Role

Opportunity Snapshot
You will join an eight-person accounting team, including five team members supporting accounts receivable, and serve as the assistant to the Accounts Receivable and Refunds Coordinator. Ours is a high volume environment, and while you'll work hand-in-hand with the AR Coordinator, you will also fully understand your responsibilities and spend a good deal of time working independently.  Quick question for you - click here

Role Details
Reporting to the Director, Finance and Accounting, and assisting the AR Coordinator, as Accounts Receivable Assistant, you will be responsible for preparing invoices for payment, entering final charges, and following up on COD permits. Additionally, you will serve as the back-up for refunds. More specifically, your key responsibilities will include:
  • Final charges for permits in preparation for monthly reports, including research, preparing and entering (approximately 45%)
  • Reviewing COD AR aging to process matches for overpayments and sort and file permits (10%)
  • Serving as back up for refunds (8%)
  • Posting daily cash receipts (15%)
  • Performing daily cash deposit (15%)
  • Performing other duties as assigned including payment pick up, return check letters, payment batching, and reviewing school license refunds for outstanding balances (7%)
